Job Description
Objective
To act as the main representative for CRE to ensure that all services conform to the global standards of JPM.
To take responsibility for the day-to-day management and delivery of all Facilities Services within the JPM occupied space.
To act as the main point of contact for the Line of Business and ensure that an appropriate work environment is provided and maintained for all JPM staff
Duties and Responsibilities
Manage the day-to-day provision of services within J.P.Morgan's premises in Riyadh and report any issues which may affect the business.
Ensure that the quality of service provision complies with the standards directed by JPM.
Gain a full understanding of the CREGS Policies & Procedures manual and ensure that directives are followed at all times.
Carry out regular inspections of the premises to ensure that the correct standards are maintained.
Organise and implement Internal Moves & Changes.
Monitor the control of expenditure against budget, ensuring that costs remain within budget. Complete purchase orders, check and process invoices, highlight any abnormalities.
Compile and present for approval draft RFA's and CERP's for projects when necessary.
Develop a good working partnership with the management of external Property Managers to ensure co-operation on all communal and commercial issues.
Maintain a good relationship with the building occupants to ensure that all services are appropriate to their business requirements.
Act as a main point of contact for all suppliers. Become familiar with all agreements and ensure that appropriate KPIs and SLAs are in place and monitored regularly.
Monitor the standards of cleaning throughout the premises. Ensure that an adequate cleaning schedule is in place and is adhered to. Arrange weekly inspections with the Cleaning Manager and monitor quality on a daily basis. Attend monthly contract meetings.
Support the EMEA Engineering Manager in the planning and co-ordination of the annual Planned Maintenance Schedule.
Co-ordination the Permit to Work process for any works within J.P.Morgan premises ensure that sub-contractors are accompanied as necessary.
Manage the delivery of all other key services for the premises, e.g. horticulture, confidential waste, pest control, etc. Ensure compliance of hazardous waste and WEEE and ensure adherence to any local laws.
Ensure that corporate signage complies with Global Policy and that all internal signage complies with the recommended standard.
Work closely with Global Security Fire & Life Safety to ensure compliance with Health & Safety legislation, Fire Regulations and all other statues relating to the occupancy of the premises.
Act as the Office Administrator for the security access card PASSPort system and as GS&I liaison.
Take an active part in the Riyadh Office Site Incident programme.
Ensure that appropriate artwork is displayed in line with the JPM policies and procedure.
Carry out regular reviews of furniture, fixtures and fittings to ensure the correct standard of fabric maintenance. Ensure that all damaged or outdated furniture and equipment is disposed of in the correct manner.
Maintain copies of all relevant keys for locks throughout the premises and arrange replacements as necessary.
Co-ordinate, archiving and print related services.
Carry out other ad hoc duties as determined by the Middle East Location Manager
Provide operational support to other Middle Eastern locations as required.
Qualifications
Experience of working within a Facilities Management environment with direct responsibility for services and standards.
An understanding of commercial contracts and experience of managing agreed Service Levels within budget.
Financial and budgetary management skills.
Excellent people skills and the ability to communicate with people at all levels.
The ability to manage a busy workload efficiently and to prioritise key tasks.
A good level of computer literacy and knowledge of key packages to produce reports etc.
A positive "can do" attitude and a willingness to become totally involved with the Facilities Management function.
Experience of working within a high pressured financial environmental.
A working knowledge of Health & Safety practices.
Project Management skills.
A technical understanding of building electrical and mechanical systems
Contract negotiation skills.
